Learn how to invite new members or admins to your site, customize invitations, resend or revoke them, and check invitation status.
Overview
You can invite users to your site using invitation emails. The invitation email contains a registration link that only the recipient(s) can use to register with your site.
Depending on your site settings, Admins, Moderators, or regular Members can send invitations.
Make your site invite-only and/or allow members to invite others
Two settings control who can join and who can invite:
- Invite-only: Users can only register after receiving an invitation email.
- Anyone can invite: Regular members can invite others to the site.
Steps to configure these settings
- Log in with your admin account.
- Click your profile picture in the top-right corner.
- Select Administration > Settings > Site Settings.
- Toggle on Invite-only and/or Anyone can invite as needed.
- Click Update.
Invite members to your site
You have two methods to invite new members:
Method 1: Share the invite link
Share a unique, site-wide invitation link that anyone can use to join.
- Click your profile picture in the top-right corner and select Invite Members.
- Click Share invite link and copy the link.
- Share it with users via email, chat, or any communication channel.
Note: Only admins can generate an invitation link from Administration > People > Invite Members. Anyone with this link can join the site, even if your site is Private or Invite-only. Once you share the link with members or enable "Anyone can invite" in site settings, admins can no longer access it directly.
Method 2: Send invitation emails
Send invitation emails directly to specific users if you have their email addresses.
- Go to Administration > People > Members.
- Click Invite Members > Invite manually.
- Enter the email addresses of the people you want to invite.
- Click Submit.
Customize your invitations
When sending invitations, you can configure several options:
Bulk-invite members
Invite multiple members at once instead of entering email addresses one by one.
- Select Multiple at once.
- Enter multiple email addresses separated by commas.
- Click Add Invitees.
Tip: If your email list is in a CSV file, you can use this tool to convert a CSV column into a comma-separated list.
Assign spaces to join
Select which Spaces members will automatically join after they register via your invitation link or email.
- Click Edit next to "Spaces to Join."
- Select the Spaces you want to add.
- Click Save.
Note: This option only works for public Spaces. Private or invite-only Spaces will not automatically add members, even if selected.
Define the member role
Set whether invitees will join as Members, Admins, or Moderators.
- Select the desired role when generating the invitation link or email.
- To change the role after sending the invitation (even if the user hasn't registered yet), go to Administration > People > Administrators > Add Admin.
- Search for the invitee's email address in the Select member modal.
- Choose the new role and click Add.
For more details, see How to change a member's role and add Admins, Moderators, and Space Admins.
Add a custom message
Personalize invitation emails with a custom introductory message.
- Click Add a custom message.
- Type your message.
- Click Submit.
Check invitation status
Go to Administration > People > Invitations to view all invitations and their details:
- Email: The invitee's email address where the invitation was sent.
- Name: The invitee's name (optional when sending invitations).
- Created at: The date the invitation was sent.
- Expired at: The date the invitation link will expire for security purposes.
- Invited by: The person who sent the invitation.
- Status: Whether the invitation is Queued, Accepted, or Revoked.
Customize the fields displayed
Click the Fields dropdown in the top-right corner and toggle the fields you want to show or hide.
Resend an invitation
If an invitee didn't receive the invitation email or forgot to register, you can resend it.
When you resend an invitation, the previous invitation link is revoked and a new email is sent with a new invitation link.
Revoke an invitation
Revoking an invitation deactivates the invitation link. The user must receive a new invitation email to register.
Perform bulk actions on invitations
You can resend or revoke multiple invitations at once.
- Go to Administration > People > Invitations.
- Use filters to select the invitations you want to act on.
- Click the Action button and choose Revoke all or Resend all.
Note: Bulk actions do not affect invitations that have already been accepted or revoked.
